EVENT MANAGER
Job Title: Event Manager
Reports To: General Manager
Position Summary:
Landmark venue that has been operating for over 20 years in Manhattan is seeking an Event Manager to execute a high level of service to our clients.
The responsibilities of this role are to oversee the execution of events as it pertains to all matters concerning clients, facility, staff and vendors.
This customer service based role requires a creative, driven, and detail-oriented person with a desire to learn from and support a small powerful team. This is a unique opportunity to service a diverse range of clients and events.
The position oversees a high volume of full-service event days per year as well as all associated pre-event preparation and post-event reconciliation.
The ideal candidate is self-motivated, highly organized, has excellent written and verbal communication, is strategic, and able to navigate various personalities and business dynamics.
Main Responsibilities:
Events:
-
Welcome clients during set up to answer any and all questions
-
Manage entrance and street for loading and unloading
-
Constantly focus on venue upkeep, cleanliness, detail, back of house, organization and customer service

Be proactive with customer service, client needs, and next steps while focusing on work plans to ensure we are executing each element

Review, understand and execute floor plans

Manage and act as an intermediary for venue event partners and ensure operational efficiency

Communicate any additions or changes to the sales team prior to approving

Ensure all vendors are completely set up by door opening and breaking down in accordance with the loadout schedule

Solicit client feedback and prepare a post-event report
Vendors:
-
Manage, support and problem solve all vendor related matters pre/post and during events ensuring premium event execution

Assign, train, and supervise entire event staff. The staff includes but not limited to:
-
Porters, Bar Staff, Security, Fire Safety, Coat Check, Restroom Attendants and Cleaning Crews

Evaluate and support operational best practices and efficiencies for safety, security, ADA, sustainability, risk management, venue setup, and traffic flows
Administration:

Develop and manage schedules for internal staff and outside vendors
-
Prepare and maintain event documents on the company server
-
Obtain and validate street activities permits, COIs, floor plans, and run of shows
-
Participate in pre-event client meetings and communication for event preparation

Manage the ordering and inventory of the in house beverage programs
-
Assist in reconciling post-event expenses
Ideal Qualifications:
-
5+ years of event experience and staff management
-
5+ years of operations experience, preferably for events
-
Exceptional analytic, project management, and relationship skills
-
Excellent negotiation skills
-
Acute attention to detail and organization
-
Demonstrated ability to identify cost savings opportunities and capitalize on them

A keen eye for event operation improvements
-
Excellent communication skills
-
Working knowledge of Microsoft programs such as Word, Excel, PowerPoint, etc.

Relationship management and/or customer service experience
